Fiscal year 2027 began on July 1 and with it comes some updated policies and information from the Travel Department.
The Parking Spot
Effective July 1, the University of Utah partnered with The Parking Spot at Salt Lake City International Airport. Travelers enrolled in the program will have access to a variety of perks, including waived reservation fees, the chance to earn free parking and integration with Concur to make tracking expenses even easier. You can find more information (including how to sign up) here.
New Parking Rates at SLC Airport
The airport has implemented new parking rates. Garage parking is now $45 per day, while parking in the airport’s economy lot increased from $12 to $14 per day. The schedule of allowable rates for parking at the airport while traveling on behalf of the university can be found here.
Policy Change for Early Reimbursement
As a reminder, the Travel department no longer allows for early reimbursement requests and employees will only be able to submit for reimbursement after the trip has been completed. This change is to align with a policy update made in May 2025 stating that “A Traveler’s expenses may not be reconciled and reimbursed until after the University Travel is complete.”
Changes Coming to Concur Access
Beginning August 15, 2026, both Travel and PCard will be changing the process to request Concur access and delegate access. Users will notice it is the same process as when they request journal access in CSA. The form can be found here.
- For Concur access, any user on campus can submit for another user.
- For delegate access, the profile owner must submit the form to give delegate access to someone else. Delegate access can be as an arranger or an approver on the person’s behalf.
If an employee acts as a delegate for someone else, they will no longer be able to be the individual to request that access. Access must be requested by the employee who is looking to give the delegate access to their Concur profile. Please note that this is the same process for arranger and approval delegates. Additionally, the Level 1 and Level 2 approvers are being removed from the approval workflow for group meals. Users will still be able to add individuals to the work flow.
The Travel team will be covering the changes coming to Concur in their August 20 virtual office hour session. Be sure to save this link to join in that conversation! There are also training modules available, including a course on how to add an approver. Learn more here.
